A conference is over in a day, but the photos work for months: in press releases, sponsor reports, social media and next year’s marketing. Hiring the right conference photographer in Dubai is therefore less about a camera and more about planning. This checklist for organisers covers what event photography in Dubai should include, what to put in the brief, how many photographers you need and how to book. We cover corporate events, summits, exhibitions, galas and product launches across Dubai, Abu Dhabi and the UAE.

Why professional event photography matters
Phone photos from the audience show the slides. A professional event photographer shows the event: speakers in good light, the full room, networking, sponsors and the small details your team spent weeks on. Good photos also help you sell the next edition. If you want video too, ask for photography and videography from the same team so the schedule works for both.

Checklist 1: Before you book
- Date, venue and hours. Send the venue, the start and end times and the agenda. Venues such as hotels, DIFC and exhibition halls have rules for professional gear.
- Type of event. A conference, a trade show, a gala, a fashion show or a product launch each need a different shot list.
- Number of photographers. One photographer covers a single-room conference. Add a second for parallel sessions, a large exhibition floor or red-carpet arrivals.
- Video or photo only. Decide whether you need event videos, a highlight reel or just photos.
- Delivery. Ask what is possible: a first selection the same day for social media, and the full edited set after. See what changes the quote in our photoshoot price guide.
Checklist 2: The shot list
Send your photographer a written list of must-have shots. A solid conference shot list includes:
- Venue exterior, signage and registration desk
- Arrivals, including VIP and red-carpet arrivals if you have them
- Every speaker on stage, plus wide shots of the full audience
- Panel discussions and Q and A
- Sponsor booths, brand activations and exhibition stands
- Networking, coffee breaks and candid shots
- Awards, handshakes and group photos
- Details such as badges, branding and food
Name the people who must be photographed and point them out to the photographer on the day. A team member as point of contact saves a lot of time.
Checklist 3: On the day
- The photographer arrives early for set-up and a quick venue walk-through.
- Agree the best positions for stage photos so you do not block the audience.
- Brief your speakers and security that the photographer has access.
- Schedule the group photo and any press photo calls in the agenda.
- Keep the lighting in mind. Dim stages and screens need a photographer with fast lenses.
Checklist 4: After the event
- Ask for high-resolution edited images in an online gallery, with a quick selection for the press release.
- Agree the usage rights for brochures, reports and social media.
- Request a short highlight reel if you booked video.

Types of event photography we cover
Conferences and summits, corporate events and product launches, exhibitions and trade shows, galas and award nights, fashion shows and brand activations. See our photography services and event work. For portraits of your speakers before the day, see corporate headshots.
How many hours of coverage do you need?
Half-day coverage suits a single session or a launch. Full-day coverage suits conferences with an agenda from registration to the evening networking. A longer day usually means a second photographer so no one is tired in the last session. Read our price guide for how hours and crew change a quote.
